Our scheduling system ensures that each return receives dedicated attention, faster turnaround times, and clear expectations from start to finish. Below is an overview of what you can expect when working with us.
Engagement & Scheduling
Before tax season begins, you will receive a proposal outlining your services. Once you accept it, you will receive access to our scheduling calendar.
How Scheduling Works

You’ll select a document submission date—this is the day you will upload all your tax documents.

Dates are available on a first-come, first-served basis.

All submission dates fall on Mondays, allowing us to begin review promptly during the week.

This personalized scheduling approach replaces the traditional “everyone has the same deadline” model that overwhelms both clients and preparers. Instead, each client works within their own structured timeline.
Preparing Your Documents
Once your submission date is scheduled:
You Will Receive:

A TaxDome organizer, customized to your situation

A detailed list of required documents

Ongoing reminders leading up to your submission date
Document Submission Guidelines

Upload all tax documents by the end of your chosen day.

You may upload documents early, but your return will not begin processing until your scheduled date unless our team is ahead of schedule.

If needed, additional documents may be uploaded after submission, though this may affect your completion timeline. Contact us if you have any pending documents.
Documents Review
We complete our review of your documents by the end of the day after your submission date (usually Tuesday). During this stage:

We confirm whether your file is complete.

If documents are missing, we send you a clear list of what’s needed.

You will have until the following Monday to provide missing items.
If missing documents are not received by then—and if we cannot adjust your preparation window—you may be rescheduled for a later date.
Return Preparation TImeline
Once we have all required documents:

Your return is added to our preparation queue.

Returns are generally completed on the Friday following 14 business days from the start of preparation.

You will receive your scheduled preparation date so you’ll know when to expect your return to be finalized.
This structured timeline allows us to provide:

Review & Filing
Once your return is completed:

You’ll receive a draft of your return along with a personalized walkthrough video explaining the results.

Any questions or revisions can be addressed through our secure portal.

Once approved and signed, your return will be filed electronically unless paper-filing is required.
Understanding Tax Deadlines & Extensions
Our scheduling system may result in some clients filing after April 15.
Filing an extension is normal and beneficial, allowing more time to prepare an accurate return without the last-minute rush.
If you expect a refund
You generally do not need to take any action by April 15. Filing later will not affect your refund.
If you expect to owe taxes
Tax payments are still due by April 15, even if your return is extended. To avoid penalties:

You may estimate your tax due and make a payment yourself, or

We can calculate an estimated payment for you (a fee may apply)
Optional tax activity due by April 15
If eligible, you may make contributions that can be applied to the prior tax year:

HSA contributions

Traditional or Roth IRA contributions

529 plan contributions
These contributions may reduce your tax liability or increase your refund.
